Deposits
For trips costing $50 or less per person, Africa Outdoors Ltd must have received payment for the full amount before a trip is confirmed. For trips over $300 per person, a deposit of 30% is required in order to secure a place on the trip. This will be specified in the trip notes. Please note that deposits are non-refundable. The final amount will then be due 10 days before the start of the trip. If booking less than 20 days before the start of the trip, the full amount will be required at the time of booking.
Changing your booking
If you wish to change your booking dates, or type (duration, program, etc) of trip, please contact us as soon as possible. Changing a booking to a different trip or date is subject to the availability of that new trip. Changing a booking is subject to a $150 amendment fee. If a new trip is more expensive than the initial trip, the difference plus the amendment fee will be outstanding, and due in order to confirm the change to a new trip. If a new trip is less expensive than an initial trip, the balance, less the amendment fee will be refunded.
All changes/cancellations to bookings must be made by the same person who originally booked the trip. Please note that if any additional services have been booked in conjunction with the original trip, additional fees may be incurred in order to cancel or change those services, for example, the booking of air transport, hotels, airport connections etc.

Bank/Wire Transfers
Bank or wire transfers can be arranged upon request. Payment information, including all bank information, will be included in the invoice that we send to you. The invoice will have a ‘Payment Due’ date, which is the time that we expect to receive the payment. Please allow for long bank processing times. A $20 transaction fee will be added to your invoice to cover incoming bank fees. Your financial institution may have additional fees to use bank or wire transfers.
Cancellations
Cancellation must be made in writing via email to contact@africaoutdoortours.com & receipt of the cancellation must also be confirmed in writing by Africa Outdoors. If there is no acknowledgment of the cancellation from Africa Outdoors it means that your cancellation notification has not been received and is therefore not valid. We will use reasonable efforts to respond to emails on time but please ensure that you follow up on any cancellation notification. Cancellation notifications must be acknowledged by Africa outdoors in writing in order to be valid. In the event of a valid cancellation notification, the following terms will apply (subject to the Disclaimer and Force Majeure clauses below included with these terms):
- More than 120 days before arrival, the 30% deposit is refunded, net of bank/payment transaction/currency exchange charges and an admin fee of 5% of the booking value.
- Between 120 and 46 days prior to arrival, the 30% deposit is forfeited.
- Between 45 days and 30 days, 50% of the full value is forfeited, the balance will be net of bank/payment transaction/currency exchange charges.
- Less than 30 days, and no shows, 100% is forfeited.
- No refund will be given for guests who join a tour but leave before its completion.
INSURANCE
Africa Outdoors generally recommends that guests intending to go on a tour ensure that full travel and medical insurance has been taken out by that guest or on behalf of the guest. If the guest chooses to go on a tour without taking out full travel and medical insurance, Africa Outdoors, its employees, and agents will not be held responsible for any liability arising out of any cancellation or rebooking or any injury or incident arising during the tour.
WILD ANIMALS
Safaris in Africa entail a certain degree of risk. We advise our guests to always consult their guide before undertaking any activity that may bring them into an area populated by wild animals and all guests must adhere to the directions provided by their guide or tour leader and at each camp. Please be aware that these safaris may take guests into close contact with wild animals. Attacks by wild animals are rare, but no safari into the African wilderness can guarantee this will not occur. To the extent permitted by law, neither Africa Outdoors,nor its employees, nor its agents can be held responsible for any injury or incident on the safari.
RATES
Whilst Africa Outdoors will endeavour to adhere to those rates published on behalf of our properties, partner properties, conservancies, parks and any other services, we do reserve the right to change rates without any prior notice.
3rd PARTY SERVICES
Where there are third party services whose terms dictate additional deposits, full payment up front or balance payment earlier than 45 days to arrival, our sales consultant will alert you to this and this will be reflected on your invoice. Cancellation of bookings which include 3rd party properties may attract additional/alternative cancellation penalties in line with the 3rd parties Ts & Cs.
Other cancellation scenarios and policies:-
In case of cancellation after paying a partial payment, 30 days prior to the trek 50% will be refunded as a trek voucher. No refund for cancellation within 30 days before departure.
If you had used a voucher to register for the trek but now wish to cancel the trek, the same cancellation policy applies. If there is a balance in your voucher after cancellation charges, we will give a fresh voucher for the same. (The validity of your voucher will not be extended).
In the case of transferring the trek to a friend, he/she should satisfy all the mandatory prerequisites put forward by Africa Outdoors. Once transferred, if in future you wish to cancel your trek, no refund/voucher is allowed.
In the case of trekkers who come down from a trek. A trekker might come down for various reasons especially when your trek leader sends you down due to any of these reasons: altitude sickness, blood pressure, lack of fitness, non-maintenance of turn-around-time, or any other health issues, injuries or if you’re found drinking/smoking or breaking rules of the trek OR if you quit the trek on your own due to personal reasons. No refund or voucher will be issued.
In case of cancellation due to fitness criteria disqualification, 30 days prior to the trek 50% will be refunded as a trek voucher. No refund for cancellation within 30 days before departure. This is applicable even if you decide to pull out of the trek on your own accord due to lack of preparedness/fitness.
FORCE MAJEURE
For the purposes of these Terms and Conditions a “force majeure event” means any circumstance not within a party’s reasonable control including, without limitation: acts of God, flood, drought, earthquake or other natural disaster; epidemic or pandemic that attract travel restrictions or otherwise have significant effects on travel; terrorist attack, civil war, civil commotion or riots, war, threat of or preparation for war, armed conflict, imposition of sanctions, embargo, or breaking off of diplomatic relations; nuclear, chemical or biological contamination or sonic boom.
Except where otherwise expressly stated in these Terms and Conditions and having taken the necessary steps to meet its contractual obligations, Africa Outdoors shall not accept liability or pay any refund or compensation where the performance or prompt performance of our contractual obligations is prevented or affected by the agent or where the guest otherwise suffers any damage or loss as a result of a force majeure event.
Where a force majeure event occurs which renders a tour impossible, illegal, or inadvisable, a guest may be entitled to cancellation of their tour/booking subject to the following terms (to the extent applicable):
In the rare event that Africa Outdoors cancels a trek, due to excessive snow/rain, thunderstorms, floods, landslides, earthquakes or unexpected political unrest, curfews, local riots, pandemics, changes in permission rules or government orders, or any such reason where a trek cannot run. Then in such cases, Africa Outdoors will always try to give you an alternate trek as the first option. These treks may be in the same state/country or another. In such situations, if the cost of the alternate trek is lower than your current trek, then we will issue a voucher for the difference in the amount of your trek fee. If the cost is more then you have to pay the difference in the trek fee only. It may also happen that the alternate trek may not be the one that you wish to do. In such a situation, Africa Outdoors will issue you a trek voucher for the trek fee (minus the insurance amount). You can redeem the trek voucher on any of our treks valid for a lifetime.
Change of trek or batch is entirely dependent on the availability of seats in that particular trek or batch.
Itineraries are based on information available at the time of planning and are subject to change.
If an event must be delayed or the itinerary changed due to bad weather, road conditions, transportation delays, government intervention, airline schedules, sickness, or other contingency for which Africa Outdoors or its agents cannot make provision, the cost of delays and/or other changes are the responsibility of the participant.
Africa Outdoors holds the right to change/cancel the policies, without prior notice.
Africa Outdoors reserves the right to change event dates, people or itineraries as conditions warrant.
Africa Outdoors reserves the right to decline or accept, any individual as a trip member for any reason whatsoever.
The trek voucher will be valid for a lifetime, transferable and can be redeemed across any treks that we offer. This is why the cancelation and refund issues are important to many people – there is always the possibility that something may come up and the tour may need to be cancelled or urgently postponed.
DISCLAIMER
This agreement is made subject to and shall be governed and construed according to the laws of Kenya. Nothing in this agreement shall limit or exclude Africa Outdoors’s liability for: (a) death or personal injury caused by its direct and substantial negligence, or the direct and substantial negligence of its employees, agents or subcontractors (as applicable); (b) fraud or fraudulent misrepresentation or wilful default; and (c) any matter in respect of which it would be unlawful for Africa Outdoors to exclude or restrict liability.
Subject to such provision and to the extent permissible under applicable law, neither Africa Outdoors Ltd, nor any person acting for, through or on its behalf shall be liable for any loss or damage whatsoever and, without restricting the generality of the foregoing, shall not be responsible for direct, indirect or consequential loss or damage arising from any errors or omission, contained in any brochure or other literature, late or non-confirmation or acceptance of bookings occasioned by the agent or guest; or loss or damage to any property, or loss or damage caused by delays, sickness, personal injury or death (irrespective of the cause of such injury, death, loss or damage) except if such a liability or claim is as a direct and substantial result of the gross negligence or wilful misconduct of Africa Outdoors.
Africa Outdoors may, at its discretion and without liability or cost to itself, at any time cancel or terminate the guest’s booking and in particular without limiting the generality of the foregoing, it shall be entitled to do so in the event of the illness or the illegal or incompatible behaviour of the guest, or under any other cause permitted by these terms and who shall in such circumstances not be entitled to any refund.3
